eRX - New account initial setup instructions

We're looking forward to getting you started on eRx. To add eRx to your account:

In OptiMantra, you can connect directly to eRx through our partner MDToolbox (which integrates with the SureScripts network) to prescribe both non-controlled and controlled substances. (Please note a DEA is required for controlled). 

To add e-prescribing to your account go to Settings > Business > OptiMantra Subscription and add the number of accounts you want to setup under the e-prescribing Add-On. 

• If you've been with OptiMantra for a while and don't see the screen below, create a ticket for our team and we'll get you connected. 
• MD Toolbox charges OptiMantra for each person using this capability. [Note: that if you have a supervising physician that needs to prescribe specific controlled drugs like Schedule 2 under their own name, they need to be fully set up in MDToolbox and there will be and additional e-prescribing fee for your supervisor as well.]

Setting up eRx:

For eRx access - please review your automatically created ticket under the Shortcuts - Support Ticket - Your name on the top right - Requests, and add the needed information for our team. Prior to getting enabled to start your setup you will need to complete the following:

1. Attach a color copy of your driver's license and a copy of your DEA Certificate (if you have a DEA) to a ticket. (Click on Create Ticket or reply to an existing eRX ticket - for security purposes, we keep these in our central repository and not an inbox) 
   • Additional verification may be required such as a video call to ensure provider security is protected and ensure timely setup when identification cannot be fully confirmed.
      
2. Under Settings > Business > User Management add yourself and check off the Practitioner Role
   • By selecting the Practitioner Role, this will now add you under Settings > Provider Settings - Make sure your business address, phone, NPI, DEA and State License #'s are filled in. Also add a comma after your last name and then add your prescribing credentials (not more that 10 characters including spaces and commas for your credentials) It is important that your name is set up exactly as it appears on your driver's license, NPI and DEA Certificate.  If you don't have a tax ID or a DEA,please type in NA.
     • Once submitted to MD Toolbox you will not be able to change any of this information so make sure it is accurate - inaccurate info will delay your sign up as we'll have to separately reach out to MD Toolbox to have it edited.

3. Make sure your have a fax number setup

   • Under Settings >Business > Locations > Fax Accounts please add a fax number. If you have your own fax, please enter it in the Non-OptiMantra box. That fax account will only be good for e-prescribing. 

     

   • If you'd like to get set up with an integrated fax where you'll be able to fax documents throughout OptiMantra, go to Settings > Business > OptiMantra Subscription and add it as an Add-On for $25/mo. (See also: Set up and use Fax (including the Sfax Portal))
4. For controlled substance setup:
   • Under Settings > Business > User Management  If you're planning to do controlled substances, add a second person to your OM account as a user that will be able to receive an email with a verification code you'll need for the last part of the controlled substance setup and verify your identity - it can be a friend or family number or staff. You don't have to give them a role just make sure their email is correct. 
5. Add eRX to your OptiMantra Subscription:
   • Under Settings > Business> OptiMantra Subscription  Add the number of Prescribers to the e-prescribing Add-On box including supervisors who need to send scripts under their own name. (We do not charge for supervisors OptiMantra account but there is an additional charge for them to get setup in MDToolbox (For older accounts, we will manually update your monthly billing account) Make sure the e-prescriber (other than a supervisor) has been added to the Practitioners box as well.  Note that if you have to have a supervising physician for some or all of your prescriptions Set up the supervising physicians just like prescribers and they can serve as your second if needed - Once set up in MDToolbox, in the script writer you'll click on the Head and Shoulders icon to the right of your name which will add them to the script as your supervisor and you as the prescriber.
