In Settings > Business > User Management > Manage Access for User, you are now able to manage the permission level of non-prescribing staff members who will be using the MDToolbox interface to assist prescribing providers. Please have an existing Prescriber create a ticket with the names of the staff members that need to be enabled for eRX.
Below you will find a description of each access level, taken from MDToolbox's documentation and reproduced here for your convenience. [information retrieved 8/20/2025]
•ReadOnly: View Only/ No Edits/ No Admin - A user who is set to Read Only will only be able to view health information and will not be able to add or edit any data – they also will not be able to use any Admin functions (reports / setup / etc.).
•Low: View Only-Edit Pat Dtl-No Admin – A user who is set to this level will only be able to add or edit patient demographic information – they also will not be able to use any Admin functions (reports / setup / etc.).
•Low: Only Add Med Hx/Allergies (please note Allergies have to entered under the patient's Clinical Profile located in their OptiMantra Dashboard to be saved under the Allergies tab in eRX) - A user who is set to this level will be able to view and add/edit health information and historical prescriptions, but they will not be able to Approve/”sign”, or electronically send any prescriptions – they also will not be able to use any Admin functions (reports / setup / etc.).
•Medium: Edit/Add- No Sign/Send/Admin - A user who is set to Medium Permission Role will be able to view and add/edit health information and prescriptions, but they will not be able to Approve/”sign”, or electronically send any prescriptions – they also will not be able to use any Admin functions (reports / setup / etc.).
•Medium: Edit/Allow Limited Admin - A user who is set to Medium Permission Role will be able to view and add/edit health information and prescriptions, but they will not be able to Approve/”sign” prescriptions. They will be able to electronically send prescriptions if approved by a prescriber or staff user with the appropriate permission level. A user with this persmission level can also approve/deny refill requests. They also will have limited admin functions such as running reports and doing data sync. Not all states allow Staff/Prescribing Agent to both write and send prescriptions in the Prescriber's name. It is important to check State and Local Laws in your area prior to giving this permission to your staff level users.
•MedHigh: Full Patient/No Admin – A user who is set to Medium-High will get to do all health information related tasks – add / edit / approve and send prescriptions but cannot do any Admin functions. Not all states allow Staff/Prescribing Agent to both write and send prescriptions in the Prescriber's name. It is important to check State and Local Laws in your area prior to giving this permission to your staff level users.
•MedHigh: Full/Allow Limited Admin – A user who is set to Medium-High will get to do all health information related tasks – add / edit / approve and send prescriptions and they will have limited admin functions like running reports and ability to do a data sync. Not all states allow Staff/Prescribing Agent to both write and send prescriptions in the Prescriber's name. It is important to check State and Local Laws in your area prior to giving this permission to your staff level users.
•High: Full Permissions – High permission level means this user can do absolutely all functions in the system including both Health Information/Patient related and Admin functions. Not all states allow Staff/Prescribing Agent to both write and send prescriptions in the Prescriber's name. It is important to check State and Local Laws in your area prior to giving this permission to your staff level users.
•Admin Only: No Patient Data – the user that is set to this level will be able to perform Admin functions such as adding prescribers and staff but cannot view or edit any Health Related information / will not be able to view patients or patient data and will not be able to run any reports.
•Admin Only: Can Run Reports - the user that is set to this level will be able to perform Admin functions (reports & setup) but cannot view or edit any Health Related information / will not be able to view patients or patient data.
