Use your own SendGrid account to send group emails from Optimantra and gain full visibility into delivery statistics — including opens, spam reports, and more. Note that statistics apply to group emails only and do not include other emails sent via the Optimantra domain.

Prerequisites
Before getting started, you must have a paid SendGrid account. Free accounts are no longer available.

Step 1 — Create your SendGrid API Key
Log in to your SendGrid account.
Go to Settings → API Keys.
Create a new API key and set the appropriate permissions.
Copy the key and save it somewhere safe — SendGrid will not show it again for security reasons.
Step 2 — Connect SendGrid in Optimantra
Navigate to Settings → Marketing → Custom Email Services.
Paste your API key into the "SendGrid Key for Group Emails" field.
Enter your sender address in "Email Address to use as Sender for Group Emails".
Click Save.
The "Sync Patients to SendGrid" option will now become available. This syncs your contacts from Optimantra to SendGrid, useful if you'd like to send items directly within SendGrid.
Step 3 — Send Group Emails
Navigate to Shortcuts → Send Group Emails.
Add recipients (filter by tag if needed).
Enter a subject line.
Type your email or import a template.
Click Send — your connected SendGrid account will be used to deliver the email.
Step 4 — View Delivery Statistics
After sending, delivery statistics are available in your standalone SendGrid account.
In SendGrid, go to Activity → Activity Feed (left-hand navigation).
Search by date range or by individual email address.
Select an email to view its Event History — including whether it was delivered, opened, or marked as spam.
Frequently Asked Questions
Q: Can I use SendGrid to see stats on all emails sent from Optimantra?
A: No. Statistics are only available for group emails sent through your personalized SendGrid account. Other emails sent via the Optimantra domain are not tracked here.
Q: What happens if I don't have a SendGrid account?
A: Group emails will still send through the Optimantra domain, but you will not have access to delivery statistics. To gain visibility, you will need a paid SendGrid account.
Q: Can I use a different email platform instead of SendGrid?
A: If you prefer a different platform, you can download a CSV of your patient email list. Go to Shortcuts → Send Group Emails, then select Download CSV to export a spreadsheet of patient emails. Note that only patients with an email address entered in their demographics will appear on the list.
Q: What is the "Sync Patients to SendGrid" option?
A: This feature syncs your patient contacts from Optimantra directly into your SendGrid account, allowing you to send emails and manage campaigns natively within SendGrid.
