Configuring Your Tax Rates
In Settings > Business > Locations; Tax Rates configure your tax rates to match the amounts you need to collect for each service type. Be sure to set the appropriate rate for:
Consultations – Enter the tax percentage (if applicable) that should be applied to office visits or provider time.
Procedures – Add the correct tax rate for billable procedures.
Labs – Configure the rate for any taxable lab services.
Supplies – Set the tax rate for retail or medical supplies sold to patients.
Also, please remember to ALWAYS create a superbill for every visit. The data from superbills populate Analytics, and missing superbills result in incomplete reporting and inaccurate data. Ensuring a superbill is created each time helps maintain accurate metrics and keeps our reporting aligned.
Reviewing Your Tax Reports
To pull total tax amounts collected during a selected quarter or year for accounting and reporting needs, please go to Analytics > List of Reports > Patient-level Charges and Payments by Date of Payment, Payment Type, Location and with COGS
- Pick the date range you would like
- Add all the practitioners to the report by clicking the counterclockwise arrow
- Then click the double square to be able to toggle between your Charge Type to Supplies
- The tax total will be found at the end of the report
- We recommend that you save each report
- Right-click on the column header you want to filter or choose Add Condition from the tool bar.
- Select 'Filter On' from the menu.
- Choose one or more elements to include in the filter.
- Click 'Apply' to filter the report based on your selected condition(s).
Exporting your Report
Click on the Home tab at the top of the page to export the report - you can select PDF to save a PDF on the computer to be sent or Excel with or without formatting (or even HTML, CSV, or Plain text - though you likely will never need to use those options)
To export into PDF, you can also just select the PDF icon in the header (by clicking on the Red Adobe icon seen below)
To export into Excel, you will be asked if you want to include the whole report and if you want it formatted or not (typically formatted will be easier to read later on)
When exporting to Excel, you may want to unmerge the report values to make it easier to analyze the data - that is, unmerge headers so that every row is a full record - in that case
