Connect your Outlook Calendar to OptiMantra to enhance visibility between platforms. Easily select which Outlook calendars to display, customize calendar colors, and manage appointment syncing and availability. Advanced settings also ensure HIPAA compliance and control over online booking availability based on your Outlook Calendar events. Please note only 1 GCAL or Outlook calendar can be connected: Connect your Google Calendar to OptiMantra.
Connect your Outlook Calendar to OptiMantra
In Settings > Scheduling > Provider Calendar select "Connect a Microsoft Account" and log into your clinic or personal Microsoft account. Once logged in, return to the Provider Calendar Settings and select the "Advanced Settings" button to choose which calendars you would like to be viewable in OptiMantra. You can also choose a specific color for your Outlook Calendar to display.
Once you connect your calendar, if you would like to see OptiMantra events in your Outlook calendar, you'll want to go back into Outlook and enable the new "Optimantra calendar" that has been added to your calendar list. Please note that this calendar only passes events from OptiMantra to Outlook - adding events to the "Optimantra calendar" via Outlook will NOT create events inside of OptiMantra.
Back in OptiMantra's Settings > Scheduling > Provider Calendar > Connect OptiMantra and Outlook Calendar, you are able to choose from several advanced settings:
- Display Outlook appointments in OptiMantra - Select this option if you would like your Outlook Calendar events to display in your OptiMantra schedule.

Block online booking using Outlook appointments- Select this option to have your Outlook Calendar meetings block your availability for online booking.
- If choosing this option please keep in mind that Outlook Calendar all day events will also block your full day's availability for OptiMantra.
- Send minimum information to Outlook Calendar - Please select this option to ensure your appointments are sent to Microsoft in a HIPAA compliant manner without displaying PHI.
Sharing your Outlook Calendar
In Advanced Settings you have the ability to choose if you would like staff to be able to view your google calendar schedule. If you choose to do so, you can also show the real calendar titles or if left unchecked it will just show a block.
If you choose not to share the calendar with your staff, we recommend having your staff use the "Find Availability" feature to book your appointments. This can be found on the Scheduling home page by selecting "More" > Find Availability, and will allow for staff to quickly find the next available slot for a service for a provider based on their online booking availability.
