The kiosk option allows you to use an iPad, any other Tablet, or a computer at the front desk so clients can check themselves in (self-service check-in). Using OptiMantra, clients can fill out their consent forms and the questionnaire on this check-in/kiosk device.
Setting Up the Kiosk

Under Settings > Communication > Patient Portal and Kiosk, you'll set up your Kiosk and Portal configurations This set-up is the same, so you're giving your patients a consistent view of paperwork to complete, whether they fill it out online or in person.
Using the Kiosk in the Office
On any laptop or tablet device, open the Chrome Incognito browser
Log into your OptiMantra account
Go to Scheduling > More Options > Kiosk
This will open a new Kiosk Tab; please close out your existing tab, so only the Kiosk tab is open for clients.

Close out the Best Practices for PHI Data Protection by pressing Continue.
Then select your office Location - the kiosk will then show you the list of clients for that day
Clients can now search for their appointment from the list by clicking into "Show search options" then using their DOB (YYYY/MM/DD format) OR phone number.
- For obvious reasons, it will not show the full name of the patients but instead a subset of their information (First name initial & Last name initial)
- If there are more than 10 clients on the schedule for that day, appointments will populate within a 2 hour timeframe. If clients are checking in early, they can scroll on my either searching their name or clicking on "Earlier appointments" or "Later appointments"
Once "This is me" is clicked for their appointment, the client will need to confirm both their phone number and their birth year to verify their identity.
Note: If clients are having trouble logging in, please make sure they have those two details correctly set-up on their patient profiles.
Once the client verifies their details, the program will offer the forms they need to fill out.
A Couple Important Notes
- You can bookmark the Kiosk URL within your incognito browser to easily access the schedule each day without needing to log back into OptiMantra each time!
- The patient portal configuration feeds the kiosk, so if you're not seeing the forms you expect - check your settings!
- The Kiosk only shows clients scheduled for Today; walk-ins will need to be put on the schedule before they can use the kiosk to complete their paperwork.
- Even though the program asks clients to close out the window when they are done, please remind them so the kiosk is reset after each patient.
