Some practices are managing patient engagement campaigns in their CRM, but then sending patients to the OptiMantra Online Booking for scheduling; the auto-populated online booking CRM-connector links help make it easier for you to share CRM data into OptiMantra and streamline scheduling for your patients
Create Custom Links in Your CRM
You can now create custom links in your CRM emails and text messages that link to the OptiMantra Online Booking and include your key patient information
Our Online Booking will read the URLs and pre-populate the patient demographics for scheduling patients
To create your custom links
- First take your Online Booking link pulled from Settings > Scheduling > Online Booking > Locations - make sure you pick the right link (one for each location) and you can decide to do the full scheduler or the by-modality booker

- Copy the link for your Online Booking page - it will look something like this: https://www.optimantra.com/optimus/patient/patientaccess/servicesall?pid=.....

Add that link to your CRM email template and add your custom fields with the CRM Custom Values (these screenshots are examples from GoHighLevel)

Supported custom fields
- Src -> e.g., booking (please make sure to include this field)
- First name -> first
- Last name -> last
- Email -> email
- Phone -> ph
- Date of birth -> dob
- Address -> address
- City -> city
- State -> state
- Zip -> zip
- src -> GHL or ZOHO or.... [this is the system you are sending them to OptiMantra from]
- srcid-> client unique identifier in the CRM/sending system
- When you send out the link to patients, it will automatically populate the Custom Values patient information into the URL, which OptiMantra will read

When patients arrive to the OptiMantra scheduler, this information will automatically show up for them on the Online Scheduling page to ensure they have a consistent record with your CRM

Test Your Custom Links and Go Live
Make sure you test your links before sending them to all your patients! Send yourself a test email with your configured Custom Values and go through the booking process to make sure everything is working as you'd like it to! Any errors in the URL - missing an "&", misspelling a keyword, or not using the right custom field - can throw errors that you'll want to troubleshoot before you put it in a campaign.
